The Role 

The Service Coordinator is responsible for allocating the company's deployable service resources. This role schedules the arrival of technicians and subcontractors at job sites, ensures clear communication with clients, and maintains records of completed work to support service invoicing and warranty tracking, while embodying our six core values: collaborative, accountable, proactive, curious, passionate, and creative. 

Responsibilities 

  • Provides Sales and Service teams with available dates for requested resources. 
  • Updates work orders and job management software so that all parties stay informed on dispatch details. 
  • Seeks verification from warehouse and purchasing managers regarding expected arrival of products. 
  • Manages all communications of upcoming appointments to clients, including delays and late arrivals. 
  • Obtains gate codes and site access requirements and communicates them to deployed teams. 
  • Prioritizes resources in alignment with company values: Ensuring client needs are met. 
  • Informs all parties of delays, cancellations, and scheduling restrictions. 
  • Schedules effectively based on priority of service needs, drive time, and expected technician efficiency. 
  • Reads daily notes, disseminates reported information appropriately, and coordinates required action items. 
  • Performs other duties as assigned. 

Qualifications 

  • High school diploma or equivalent. 
  • Time management, scheduling, or logistics experience preferred. 
  • Ability to multitask and coordinate multiple moving parts at once. 
  • Comfortable becoming proficient in in-house job management software. 
  • Strong customer service skills: Including experience with high-profile, high-demand clients. 
  • Ability to manage time wisely with limited supervision. 
  • Guardianship and preservation of client confidentiality and network/home security. 

Physical Requirements 

  • Prolonged periods sitting and working at a desk or computer. 
  • May require standing or stooping for extended periods.
